Data Deletion Policy

1. Introduction

This Data Deletion Policy explains how Social Metric Hub, operated by VICOM SOLUTION LTD ("SocialMetricHub", "Company", "we", "us" or "our"), processes requests for deletion of personal data and user accounts.

This Policy should be read together with our Privacy Policy, Terms of Service and, where applicable, any Data Processing Addendum entered into between Social Metric Hub and its business customers.

Social Metric Hub is committed to respecting privacy rights and complying with applicable data protection legislation, including Regulation (EU) 2016/679 (General Data Protection Regulation – "GDPR").

2. Right To Request Deletion

Subject to applicable law, users may request deletion of their personal data and account information at any time.

Deletion requests may be submitted through account settings where available, through customer support channels or through the privacy contact details published on the website.

Before processing a deletion request, Social Metric Hub may take reasonable steps to verify the identity of the individual submitting the request in order to prevent unauthorized access, fraudulent requests or accidental deletion of personal data.

3. Account Deletion

When a valid account deletion request is received, Social Metric Hub will take reasonable steps to permanently delete or anonymize personal data associated with the account.

Account deletion generally results in the removal of account credentials, profile information, authentication records, personal preferences, active sessions and access to the Services. Connected social media accounts will be disconnected and the user will no longer be able to access platform functionality associated with the deleted account.

Once an account has been deleted, restoration of access may not be possible.

4. Social Media Integrations

Social Metric Hub allows users to connect third-party services and social media platforms, including Facebook, Instagram, LinkedIn, TikTok, X (formerly Twitter), YouTube and other supported services.

When a deletion request is processed, Social Metric Hub will remove active integrations and authentication tokens under its control. Users may additionally revoke access permissions directly through the relevant third-party platform.

Social Metric Hub is not responsible for the deletion of information retained by third-party platforms. Such deletion remains subject to the privacy policies and procedures of the respective providers.

5. User Content And Uploaded Files

Users may upload content to the Services, including reports, spreadsheets, datasets, documents, images, marketing materials and other files.

Following a valid deletion request, Social Metric Hub will take reasonable steps to delete or anonymize such content from active systems unless retention is required by applicable law, regulatory obligations, contractual requirements, dispute resolution needs, fraud prevention measures or legitimate business purposes.

Deleted content may remain temporarily within backup systems until scheduled deletion or overwriting procedures have been completed.

6. Organization Accounts And Team Workspaces

Where an account is associated with an organization account or team workspace, deletion requests may be subject to the rights and responsibilities of the relevant organization.

Organization administrators may retain access to workspace records, reports, content, activity logs and information generated within the organization environment in accordance with their contractual arrangements and applicable law.

Where Social Metric Hub acts as a processor on behalf of a business customer, requests relating to customer-controlled personal data may be referred to the relevant organization or customer acting as controller.

7. AI-Related Data

Social Metric Hub may process information submitted to artificial intelligence functionality, including prompts, uploaded content, reports, recommendations, analytics and generated outputs.

Where deletion is requested, SocialMetricHub will take reasonable steps to delete or anonymize AI-related information stored within its systems unless retention is required by law or justified by legitimate business interests.

Unless expressly disclosed otherwise, Social Metric Hub does not use customer content to train proprietary artificial intelligence models.

8. Information We May Retain

Notwithstanding a deletion request, Social Metric Hub may retain certain information where retention is necessary to comply with legal obligations, tax and accounting requirements, regulatory requirements, dispute resolution obligations, fraud prevention measures, security investigations, contractual obligations or the establishment, exercise or defense of legal claims.

Any retained information will be limited to what is reasonably necessary for the relevant purpose and retained only for the period required under applicable law or legitimate business necessity.

9. Anonymized Information

Social Metric Hub may retain information that has been irreversibly anonymized so that it can no longer be used to identify any individual.

Anonymized information may be used for analytics, service improvement, security monitoring, statistical reporting, research and business intelligence purposes. Such information is not considered personal data under applicable data protection laws.

10. Backups And Disaster Recovery

Deleted information may remain temporarily within secure backup systems maintained for business continuity, disaster recovery, operational resilience and security purposes.

Backup copies are protected through appropriate technical and organizational safeguards and are deleted, overwritten or otherwise removed in accordance with established retention schedules.

Backup data will not normally be restored except where necessary for legitimate operational, security or legal purposes.

11. Response Times

Social Metric Hub will respond to deletion requests within the timeframes required by applicable law.

Where GDPR applies, requests are generally addressed within one month of receipt. This period may be extended where permitted by law due to the complexity or volume of requests.

Where additional time is required, the individual submitting the request will be informed accordingly.

12. Refusal Or Limitation Of Deletion Requests

Social Metric Hub may refuse or partially refuse a deletion request where the identity of the requester cannot be verified, where retention is required by law, where retention is necessary to protect legal rights, where information is required for fraud prevention or security purposes, or where another lawful basis for retention exists.

Where required by applicable law, Social Metric Hub will provide information regarding the reasons for such refusal.

13. Data Subject Rights

Nothing in this Policy limits any rights available under GDPR or other applicable data protection laws.

Depending on applicable law, individuals may have rights relating to access, rectification, erasure, restriction of processing, data portability, objection to processing and withdrawal of consent.

14. Changes To This Policy

Social Metric Hub may update this Data Deletion Policy from time to time in order to reflect legal, technical, operational or business developments.

Updated versions will be published on the website and will become effective upon publication unless otherwise specified.
